About Cota

Cota is an accredited not-for-profit organization that has been providing community-based support to people living with mental health and cognitive challenges for over 50 years. At present, our wide array of services delivers much needed support to over 4,000 people/year who live with mental health challenges, psychogeriatric mental health conditions, acquired brain injuries, developmental disabilities, dual diagnoses and/or the experience of homelessness.  These services include, but are not limited to, case management, supportive housing and adult day program services.  A full listing of our services can be viewed on our website at  https://cotainspires.ca/

 Role Overview

The Junior Accountant supports the transactional operations of both the Payroll and Accounting functions and is an integral member of the finance team. This position reports to the Finance Manager.

Primary Responsibilities:

  • Responsible for coding invoices and ensuring proper authorization is obtained.
  • Update tracking sheets and client financial data base ensuring accuracy of information.
  • Assist with processing payment of all invoices.
  • Process the electronic funds transfer of vendor payments.
  • Reconcile accounts payable subsidiary and general ledger control accounts and prepare the required journal entries.
  • Prepare Accounts Receivable Sales invoices.
  • Assist in the month-end financial statement process and prepare analysis as required on various general ledger accounts, including bank reconciliation, accounts payable, accruals, and other balance sheet accounts.
  • Prepare and update accounts payable procedures documentation.
  • Assist in preparing the GST/HST returns.
  • Delivers monetary deposits to the bank.
  • Ensures all supporting accounts payable documents are filed correctly.
  • Assists the other members of the Finance team with other projects as required.

Other Responsibilities:

  • Observes Cota and Divisional rules and regulations, policies, procedures, practices and current legislation, in particular, the Human Rights Code.
  • Complies with all Health and Safety policies and procedures to ensure every reasonable precaution is taken for the protection of workers and clients and that health and safety concerns or incidents are responded to promptly.
  • Works cooperatively and constructively with other members of the organization and with external stakeholders.
  • Ensures confidentiality of client, employee and Cota information is maintained at all times.
  • Undertakes other related and/or delegated duties.

The Successful Candidate Requires: 

  • Attention to detail.
  • Excellent organizational skills.
  • Knowledge of (Great Plains) GP, and Excel.
  • Excellent interpersonal and communication skills.
  • Effective team player.
  • Sound judgment.
  • Completion of a College Diploma in Business/Accounting.
  • Minimum of two (2) years of experience in accounts payable or bookkeeping preferably in the not-for-profit sector.

Other Requirements:

  • The majority of working hours fall within regular business hours.  Flexibility is required to ensure reports are generated in accordance with due dates.
  • Hybrid working environment includes being on site one (1) to two (2) days per week.
